Introduction

Welcome to CheqM8s. We respect your privacy and are committed to protecting your personal information. This Privacy Policy explains how we collect, use, and safeguard your information when you use our receipt splitting application.

Information We Collect

1. Personal Information

When you use CheqM8s, we collect:

• Name: The name you provide during account setup
• Username: Your chosen username for identification
• Device Identifier: A unique ID for your device to maintain your account

We do NOT collect:

• Email addresses
• Phone numbers
• Payment information
• Location data

2. Transaction Data

• Receipt items and prices
• Transaction totals, tax, and tip amounts
• People involved in transactions (names only)
• Settlement status of transactions

3. Receipt Images

• Camera Access: We request camera permission to capture receipt photos
• Photo Library Access: We request photo library permission to select existing receipt images

Important Note: Receipt images are processed using Apple’s on-device Vision framework and are NOT uploaded to our servers or stored in our database. Images taken within the app are deleted immediately after processing.

4. AI Receipt Scanning (Optional, On by Default)

CheqM8s includes an optional AI feature that improves receipt parsing accuracy on messy or complex receipts.

• What is sent: Only the text Apple Vision extracted from your receipt — never the image itself.
• To whom: Google Gemini, via a Google Cloud function we operate.
• When: Only when the “Use AI to improve receipt scanning” toggle is enabled. This is on by default, but you can turn it off at any time.
• How to turn it off: In the app, go to Settings → Scanning Settings and toggle “Use AI to improve receipt scanning” off. With it off, all receipt parsing happens entirely on your device.
• Limits: Each user is limited to a small number of AI parses per month to keep the feature free. When the limit is reached, scanning continues to work using on-device parsing — nothing breaks.
• Retention: We do not store the receipt text after the parse completes. Google’s data handling for the Gemini API is governed by their API terms.

5. Analytics Data

We use Google Analytics for Firebase to collect:

• App usage statistics (screens viewed, features used)
• Session duration and frequency
• Device type and operating system
• Crash reports and performance metrics

How We Use Your Information

We use your information to:

• Create and maintain your account
• Process receipt images to extract item information
• Track who owes what in shared expenses
• Provide analytics to improve the app experience
• Maintain app performance and fix bugs

Data Storage and Security

Where Your Data is Stored

• Cloud Storage: Your account and transaction data is stored in Google Firebase/Firestore
• Local Storage: Your name and username are cached on your device
• Receipt Images: Never stored on our servers

Data Sharing

We do NOT:

• Sell your personal information
• Share your data with third parties for marketing
• Store or have access to your receipt images after processing

We only share data with:

• Firebase (Google): For data storage and authentication
• Apple Vision Framework: For on-device receipt text recognition
• Google Gemini API: Only for AI receipt scanning, only when you have the feature enabled, and only the OCR text (not the image)

Your Privacy Rights

You Can:

• View Your Data: See all your transactions and profile information
• Delete Your Account: Request account deletion at any time
• Manage Transactions: Delete individual transactions
• Disable AI Scanning: Turn off the AI receipt parser at any time via Settings → Scanning Settings

Account Deletion Policy

• User-Requested: Accounts are permanently deleted after 90 days
• Inactive Accounts: Deleted after 6 months of inactivity
• Reactivation: You can reactivate during the waiting period

Transaction Retention

• Open Transactions: Automatically deleted after 60 days
• Settled Transactions: Automatically deleted after 30 days
• Manual Deletion: You can delete any transaction at any time

Information Visible to Other Users

When you share transactions, others can see:

• Your name
• Your username
• Items assigned to you in shared transactions

They CANNOT see:

• Your other transactions
• Your total spending or financial statistics
